Record duration, recovery, and recent utility changes

Separate a cold shower from a cold house
Record whether water is cold everywhere, lukewarm, briefly hot, or unstable. Note recent power, gas, plumbing, or thermostat changes without opening the heater.
Compare the hot side at a sink near the heater with a more distant fixture, then compare cold flow at those same fixtures. Use caution because water can become unexpectedly hot after a delay. Record whether there is no heat from the first draw, some heat that fades quickly, unstable temperature, or normal heat at every fixture except one shower or faucet. Note how long the problem lasts, when the water last worked normally, and whether several people or appliances recently used hot water. A single mixing valve can create a local complaint even while the heater operates. Conversely, a whole-home loss may require examination of equipment, energy supply, controls, mixing, or piping. The comparison gives the provider a starting point without asking you to remove a cover or change the temperature setting.
Bring equipment history, not a relighting attempt
From a dry and safe position, record the equipment model, type, capacity, displayed message, and visible status information without opening panels. Gather installation, maintenance, warranty, and earlier repair records. Note recent utility interruption, electrical work, flooding, leakage, unusual sound, or odor. Do not relight a burner, reset a repeatedly tripping control, handle gas components, or touch electrical parts near moisture. Suspected gas, combustion, smoke, sparking, or hot discharge requires the proper utility or emergency route. If the unit has a manufacturer troubleshooting display, read it to the provider rather than assuming the code identifies the only failed part. Ask whether the initial visit can test the energy and control systems or whether another qualified trade or utility will need to participate.
Demand and failure need different remedies
A provider can separate fixture mixing, energy supply, controls, heating components, sediment, and tank condition. Ask what observation supports the diagnosis.
A household that now uses more simultaneous hot water may have a capacity problem, while a sudden loss under unchanged use suggests a different investigation. Ask what measured temperature, recovery, component, control, or mixing evidence supports the recommendation. A repair should identify the confirmed fault and the test used to return the unit to service. A replacement proposal should explain why repair is not the chosen option and include demand, utilities, access, venting, drainage, removal, approval, startup, and warranty. Do not compare only the equipment price. After work, confirm hot-water delivery at several fixtures and record any local shower or faucet issue that remains. A warmer tap immediately after service does not establish that the original duration or simultaneous-use complaint has been resolved.
In a multi-unit property or a home with a shared central system, ask the owner or manager whether other occupants are affected and who is authorized to arrange equipment work. Do not enter a locked mechanical room or change shared controls. A local fixture visit and a central-plant problem have different access, authority, and coordination needs, even when the symptom at the tap sounds identical.
